| From contact we will arrange an informal meeting with you to discuss your requirements and establish a clear brief, with well defined Roles and Responsibilities for all parties. You as Client will have a key role as the decision maker and your level of involvement needs to be clearly understood. | ||||||||||||||||||||||||||||||||||||||||||||||||||||||||||

| Having established the budget, preferred time-lines, levels of design, planning involvement and the full scope of works, we will review the brief and prepare a detailed cost plan and programme for your consideration. We will agree with you a realistic turnaround for the delivery of these at the initial meeting. | |||||||||||||||||||||||||||||||||||||||||||||||||||

| If, in our opinion and based on our expertise, we are unable to deliver the project to the declared budget, we will consider what is achievable and advise accordingly. Working with you we will undertake cost engineering exercise to look at how innovation and practical solutions can be applied to reduce cost, without adversely affecting the design concepts and aspirations of the original proposals. | ||||||||||||||||||||||||||||||||||||||||||||

| Cost Plans will be broken down in such a way that you can see detailed elemental/itemised costs and these costs will be grouped so you can calculate the incidence of cost, through the duration of the project. We will prepare a simple cash flow for the project life, so that you can budget and arrange your finances accordingly. | |||||||||||||||||||||||||||||||||||||

| We would always recommend that any appointment is made on the basis of a written contract. As a minimum this would include the defined roles and responsibilities, our simple Terms and Conditions, the agreed cost plan and programme - all clearly referred to within a clear written instruction to proceed. There are several simple standard forms of contract which can also be used. We can advise on this or you may prefer to take independent advice. A contract provides protection to all parties and - more importantly - provides the structure and framework to allow the successful delivery of the project. | ||||||||||||||||||||||||||||||

| After appointment we would recommend a "kick off meeting" with you and all key parties prior to any works commencing. The meeting is a forum to ensure all parties clearly understand their role, confirm understanding of all the project parameters and agree formal reporting and communication process. This helps to avoid unnecessary misunderstandings through the life of the project. | |||||||||||||||||||||||

| During works we will regularly inform you of progress, depending on your requirement. At a minimum we will communicate with you should there be any unforeseen issue which will impact on the cost or programme or is, in our opinion, something you should be aware of. | ||||||||||||||||

| Without stating the obvious it is our responsibility to Project manage the works and take ownership for the delivery of the project. To assist us in this and for your peace of mind we provide a single point of responsibility. We ask that all your communications and any instructions (if you want to vary the scope of the works) are made directly to the Managing Director or the nominated company representative. | |||||||||

| We aim to give you financial closure within one month of practical completion (P.C.) of the works. By agreeing variations (if there are any) during the project there should be no "nasty" surprises. A final account statement will be submitted within a month of P.C. and all "snagging" / making good of defects will be completed during the same period. | ||
